Data Handling Policy

This policy states how the public website handles pilot-interest information and what a future file-review workflow should require.

Public Website Boundary

The current public website accepts only pilot-interest contact and screening information. It does not accept manuscript files, raw datasets, patient or participant identifiers, reviewer materials, or confidential research records.

Public Form Data

Public form data may be used to screen pilot fit, send internal lead notifications, send an acknowledgement email, and store a lead record in Airtable when the integration is enabled. The form is not a secure file-transfer channel.

Future File Review Requirements

Any future workflow that accepts files should be separate from the public form and should include, at minimum:

  • Authenticated accounts and project-level access control.
  • Encrypted transfer and storage for approved pilot materials.
  • Clear consent, file-type restrictions, and malware scanning.
  • Audit logs, retention limits, deletion options, and scoped access.
  • Separate review before any confidential or regulated material is accepted.

Model Training

User-submitted pilot materials should not be used for model training without explicit written consent. Pilot materials should be used only for the agreed review workflow.

Human Review

AI-assisted outputs should be treated as screening signals for human review. They should not be used as standalone evidence of misconduct or as a substitute for author, institutional, journal, or expert review.

Public pilot-interest information only. Approved pilot data workflows should be reviewed separately.
